What are required forms and how can I use them?

In this guide we'll cover everything there is to know about required forms!

What is a “Required Form”?

A required form is a form that you want to require a specific user type to complete by a certain date. If a user was part of the user group required to complete the form prior to the due date, they can still submit the form after the due date has passed. New users will not be added to a required form if they did not meet the criteria you set after the due date passed.

How do I set up a required form?

Only Application Admin and Staff users with the Form Admin security role are able to configure required forms

1. Go to the Forms page

2. Click on Settings

3. Click on Required Forms

4. Click on New

The Form Template box

This is where you’ll set the form template you want users to be required to complete

5. Click on the Form Template selection box

6. Search for the template you want to require

In this example, we’ll be configuring a Career Objective Form for the Auto Technology program

The Alias Box

This is where you’ll set the name of the form that will appear to both yourself when managing the form, as well as users that are required to submit the form.

7. Give the form a name

Since we’re doing a career objective form for Auto Tech, we’ll give it an alias that shows it applies for the 2025-26 school year

The Due Date

This is when you want users to complete the form by. Users that were already required to submit the form prior to the due date will still be able to, but new users will not be.

Tags

The beauty of Tags is that they can be whatever you want! They can help you organize, differentiate at a glance, and report on different forms. They’ll show in the Tags column in the main Required Forms table and you can even use them as a filter! If a tag doesn’t exist yet, simply type what you want it to be and hit Enter/Return on your keyboard!

9. Add your tags!

Good tags for our example could be “2025-26” to show the applicable school year and “COF” to show it’s a “Career Objective Form”.

Appending a Document

If you wanted to append a document to your form, for example a course syllabus, you can check this box. Only one document can be appended to a form. Documents available to be appended can be managed under Documents → Archived Documents in the left navigation bar on your screen.

After checking the box in the previous step, the Document selection box will appear. Click into this box and choose the document you want to append to your form.

Forms can be required to be completed by Teachers, Students, Staff, and/or any combination of these users!

11. Check the box next to Teachers

11a. Set your Teacher filters

You can set which teachers in Jobready CTE should be required to complete this form by choosing one of the 4 available filters. All will require every teacher in Jobready CTE to complete the form. You can choose Individuals to specify the form be completed by only specific teachers. Lastly, you can choose By Program to have the form be required by all teachers tied to a particular Program or Programs in Jobready CTE.

12. Check the box next to Students

12a. (Optional) The “Allow teachers to manage their student’s submissions” box

You can check this option if you want teachers to be able to manage this required form for their students, including viewing the form, changing the signer, or canceling a submission.

12b. Filter Students by Grade Level

You can use this box to set the form to only be required by students in certain grade levels

12c. Set your Student Filters

You can set which students should be required to complete this form by choosing one of the 3 available filters. All will require every student to complete the form. You can choose Individuals to specify the form be completed by only specific students . You can choose By Program to have the form be required by all students tied to a particular Program or Programs. Lastly, you can choose By Group to only assign this form to students in certain Student Groups.
These filters will also respect the choice(s) you made for the Grade Level filter, if any.

You can set which staff users in Jobready CTE should be required to complete this form by choosing one of the 2 available filters. All will require every staff user in Jobready CTE to complete the form. You can choose Individuals to specify the form be completed by only specific staff users.

Suppress Emails

This option will prevent emails from being sent to an user that the form is required by. Instead, they can just log in to Jobready CTE and complete the form from there.

14. Click on Add Required Form

You did it! Your form will automatically start being required by users that match the criteria of the filters you set.
We re-evaluate users that meet this criteria daily at around 8am ET. If a user meets that criteria after you create the form, it will automatically require they complete the form during the next re-evaluation.
Daily re-evaluations will stop taking place after your specified Due Date
