Bug: Receiving Notifications for Students Outside Assigned School
At least one staff at Jefferson County Public Schools (KY) who is assigned to a specific school is receiving notifications for students assigned to a different school.
Allow forms to be "assigned" to WBL experience on a more individualized basis
Sometimes forms like training plans or evaluation forms are unique to students, courses/classes, or employers. There are two ways to accommodate this now, but neither is ideal. One is by creating a new WBL for each of these instances. While this works, the result leads to a lot of WBL Types that can quickly become difficult to manage. The other is to create one WBL Type, but to include all possible forms but mark the unused ones as Not Required. This creates a lot of extra work as well. A possible solution for this would be to somehow allow certain forms to be assigned to an experience by either directly selecting them as required for a specific experience or assigning them dynamically based on the student, their courses/classes, or their employer. Another thought would be to somehow designate certain form templates as a particular type of form (ie. training plan) and then allow the specific form of that type to be selected upon submission. In any instance, the difficulty would be tracking the completion status of these forms.
Send Students an alert if they have not submitted a worklog within the desired worklog submission frequency
We currently have a “desired work log submission frequency” setting on WBL Types. If a student has not submitted a work log within that desired frequency, we should send the student an alert to submit the log. We could include helpdesk links showing how to submit it on the website and on the mobile app.
Reports - Create a Weekly WBL Hours report
There should be a row for each student and columns for a weekly date range with 2 sub-columns (total hours approved & total hours pending). Before generating the report ask the user for the start and end dates (default to all), WBL Types (default to all), and add a final Grand Total Hours column. There should be standard fields for the student such as first name, last name, email, grade level, grad year, dob, program, school, sending school, state student number, and local student number as well. The original request was to create something like what is shown below.
WBL: 'Current PDF' Looping & 'In-Person Signature' Error 401
Customer is experiencing two issues within the Work-Based Learning (WBL) module: 1. **'Current PDF' Feature Issue**: When attempting to view a current training agreement by clicking the 'Current PDF' button, the system re-opens the WBL window without displaying the form. The customer confirmed that allowing pop-ups for Jobready360 did not resolve this looping behavior. Initial bot diagnosis suggested a pop-up blocker. A workaround suggested was to use the 'View' button on completed forms. 2. **'In-Person Signature' Feature Issue**: The customer also reported encountering an 'Error 401' when attempting to use the 'in person signature' feature, preventing its use.
Allow WBL Hour alerts to be set and monitored
This would allow for monitoring of state-defined minimum weekly WBL hour requirements, such as is the case for OJT hours in Florida. Maximum number of hours per week exceeded. Note that the student’s age may play a part in this determination. Modulus of hours met For instance, to get an alert for every 30 hours worked. As hours are approved, if that results in a new multiple of 30 hours that was not previously alerted on, trigger a new alert. Target number of hours reached This could be based on calculations across one or more WBL Types. Ideally, it would be nice to show some type of dashboard that shows all alerts that have been triggered as well as subscribe to email notifications.
Allow Eligibility Rubrics to be set on a per school basis
As it is now, the Eligibility Criteria are applied to all WBL Types and all schools. If the School Selector option is turned on, you should be able to define each rubric to one or more schools. Also, while this is separate, it also should be noted that rubrics should be defined for each WBL Type as well. The criteria to be eligible for an apprenticeship at School A is probably not the same as a Job Shadow for School B.
WBL Opportunities - Create admin access for intermediaries (like workforce organizations) to manage schools and employers in their region
This should also include some stats about opportunities and the ability to log in as an employer to offer assistance.
WBL Observers-access to view eligiblity
Currently if a teacher or staff account is a WBL observer, they can see WBL but if they scroll down to eligibility, the screen has a circle that just spins. The teachers/staff accounts who are observers should be able to view the eligibility documents (especially resumes) of their students. Can this be added please?
Add the ability for a coordinator to receive alerts when a student works every X hours to meet State or District requirements
For instance, in Michigan, State law requires that a student’s unpaid internship training plan must include at least two new tasks for every 45 hours of work. Additionally, many school districts in Washington state require employer evaluations after every 30 hours of work-based learning completed.

"An Employer Document Has Expired" Notifications should take you to the appropriate employer
Currently, these notifications take you to the Work-Based Learning Page. There is no easy/quick way to find which employer has the expired/expiring document. When clicking on the notification, it should take you to the employer it's referencing.

Add a way to send a reminder and manage email invites sent to Advisory Board members
This would especially be helpful to see if emails were delivered and to be able to resend to members that have not yet RSVP’d. It would also be nice to automatically send a reminder on the date that the meeting is going to be held.
Student Documents - Add Optional Expiration
This would be particularly useful for documents such as proof of auto insurance or a drivers license.

Create recurring reports that remember previous settings
I like to pull the same report weekly - it would be nice to be able to save the filters so the same information is pulled each time.
Manage all Forms with non-deliverable email addresses
This should show any email address that failed to be sent with the name of the form and the name & type of signer. Currently, there is no we to view and manage this well for large scale required form deployments. If the failed email is for a WBL experience, it may be difficult to find if the signer is a guardian so having a way to change signers from this view would be helpful.
Allow logos to be uploaded for Employers and/or allow an image to be uploaded by a coordinator for an opportunity
Allow exporting of document uploads (student docs and/or employer docs)
This could operate similarly to the Forms export where you would choose a student/employer document type and add filter options. This would export all uploaded content into a ZIP file with each file named by student/employer and type.
Advisory Board - Allow Meeting Minutes & Admin Response to be communicated back to all advisory board members
A potential way to do this would be include links to both the completed meeting minutes and admin response (either form or upload) in the Meeting Agenda that members can already access. You could also then send an email to members to let them know when each item is added.

Create a resume builder and use AI to suggest content to students
We plan to automate much of the process since we already have a lot of information about the student and basically have a "wizard" that allows them to confirm the information we already know and prompt them for any missing information. We would then allow them to save customized versions of the resume in a professional format that is targeted to a particular occupation/purpose. Look at the completion of tasks, skill sets, WBL participation, industry certifications, etc. Also allow different templates to be used to format the content of the resume.
CTSO / Clubs events
Allow events to be tied to CTSO / Clubs to track participation and attendance. Once events can be tracked, add types of events (competitions, conferences, committee meetings, etc.)
Project-Based WBL - Allow Students to self-track hours
This would ask them to choose a role, if applicable, and enter a description. Teachers could then approve or reject the hours. Allow students to scan a QR code to select the WBL type and role automatically if using the mobile app. Clock in/out functionallity could also be used.
Allow a teacher, counselor, or specific user to be assigned as the mentor to approve a specific career planning activity
For instance, some schools would like teachers to be the ones to approve a resume or cover letter instead of the counselor assigned to a student.
Manually Add Hours to Student Experience
I need the ability to manually add or adjust hours for a student's experience. This would allow for greater flexibility in recording and managing student hours, especially in cases where automated tracking might not be feasible or accurate, and when there are hours the student accumulated prior to the setup of the experience in Jobready.
Bulk Re-enable Disabled Teacher Accounts / Bulk Update "Allow Inactive Login" Setting
Users need the ability to re-enable multiple disabled teacher accounts or update the "Allow Inactive Login" setting for a group of teachers simultaneously. Currently, this process must be done individually for each teacher, which is inefficient for large numbers of staff (e.g., 50+ teachers). This feature would significantly improve administrative efficiency when expanding the use of the system to a larger group of educators.
Create a Clock In / Out Dashboard or Chart
In some schools, teachers are heavily relying on the student's clock-in and clock-out times for attendance purposes. The current steps for seeing the times are cumbersome for teachers, and running a report is not always the best option for low-tech teachers. Develop a dashboard view of some sort to quickly show student clock-in and clock-out times broken down by each day. This could even be a chart that is added to the Analytics page if there isn’t a place for it on the WBL page.
Add "Required by All Students" checkbox to Student Document Types
Currently, if a Student document type is created, it’s automatically required by and shown to all students. We should add a checkbox when creating a student document type that can be checked to require it for all students. When this is unchecked, it will only show to students that are part of a criteria that is requiring that student document (i.e. specific WBL Types or Career Planning Activities)
Add 'Total Hours' column to 'Total Hours by WBL Type' report

Allow more granular control over scheduling of recurring form submission automation (ie. days of month, every other Monday, specific dates, etc.)
This would be ideal for evaluation forms in particular. This would allow all forms to be sent out more consistently and predictably. For instance, if quarter end dates were known, the specific dates could be set. In other instances, it would be nice to send a form on the 1st and 15th of each month. Currently, we can only quickly send to all students in the system. Being able to send out mass communications for all students actively participating in a WBL experience or all active experiences within a certain WBL type would add value for some users.
